Group Coordinator & Bookkeeping

The Pulaski County Tourism Bureau & Visitors Center’s mission is to promote Pulaski County Missouri as a tourist destination and to service visitors to our communities.     

The Tourism Bureau is looking for a full-time team member that is passionate about Pulaski County Missouri, enjoys people, and is looking to begin a career in marketing and hospitality.  The primary responsibilities include identifying market opportunities, developing, and implementing strategies with the objective of attracting meetings, reunions, motorcoach, media, and events to Pulaski County.  Provide service programs for clients.  Coordinate with local business partners.  Individuals must be driven to showcase Pulaski County to the group industry, working to increase overnight stays in Pulaski County.  Ability to perform accounts payable and receivable processes. Must perform work in a timely manner with high accuracy.

Group Sales:

  • Maintain and aggressively develop new group opportunities for Pulaski County Missouri, which includes but is not limited to; motorcoach, reunions; military, family, school, specialty groups, meetings and workshops, conferences, sport tournament planners and media; travel writers, influencers and film production, to generate overnight visitation. 
  • Contact prospective planners and individuals to initiate sales efforts – involving face to face prospecting, referrals, telephone, email, newsletters.  Follow up on all group leads securing the business.
  • Attend and participate in trade shows/marketplaces, industry meetings, sales efforts, bid presentations relative to the development of tourism promotion and lead development. 
  • Maintain accurate records of all bookings/sales, prospecting activities, and follow-up activities within company database.
  • Maintain and develop “step on guide” program.  Attend group tour events as a “step on guide” or provide trained alternatives. Ensure groups that are booked through group sales have the materials needed and special needs are met. Provide on-site services at the time of group need.
  • Assist clients with RFP, generating requests to area partners, presenting offers to clients.
  • Assist group planners with creating itineraries, networking clients with hospitality partners. Set up site visits and secure overnight lodging for client if needed.
  • Gather sponsors, develop marketing materials, build group opportunities with stakeholders, supervise volunteers for specialty groups.
  • Ability to establish/develop selective selling techniques for soliciting events and groups during dates most beneficial to the local visitor economy.
  • Ability to make verbal presentations to groups of various sizes.
  • Maintain content website and social media data for trade shows, groups and sporting events, maintaining booked groups on calendars. 
  • Participate in meetings and serve on committees that enhance tourism.
  • Maintain awareness and communicate activities of competing cities and trends.
  • Prepare monthly and annual group sales recap.
  • Must have strong desire for tourism sales with focus on career and industry growth.


  • Perform bookkeeping processes, accounts receivable/payable.
  • Properly verify, code and key accounts
  • Monthly reconciliations
  • Generate and review monthly reports.
  • Ensure all paperwork is processed and properly verified according to organizational procedures.

Other Duties

  • Provide occasional traveler assistance, via phone and walk-ins, for the Visitor Center. 
  • Assists with implementation of yearly goals for Bureau.
  • Works closely with the Executive Director. 
  • Performs related work as required.
  • Must possess the ability to work in a fast-paced work environment and have excellent written and verbal communication skills.
  • Must establish and maintain effective working relationships with clients, partners and staff.
  • Ability to prepare appropriate reports, correspondence, memoranda, agreements, and budget projections in a professional manner.
  • Adheres to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team.

Education, Experience and Other Requirements

  • Minimum of 2 years’ experience in sales.  Experience within the hospitality industry, destination marketing or lodging, preferred.   
  • Minimum 1 year experience in bookkeeping processes.
  • Familiar with Quickbooks and Microsoft products.  
  • A solid understanding and demonstrated ability to utilize best practices, innovation, and key trends.
  • Must have a passion for tourism opportunities throughout Pulaski County Missouri.
  • Must be well organized with the ability to prioritize and handle multiple assignments and be willing to get involved in projects with varying degrees of difficulty.
  • Must demonstrate willingness to work as an individual and in a group.
  • Will maintain a cooperative, team-like attitude in working with Director and fellow employees.
  • Will demonstrate exceptional skills in sales, customer relations, communications, and problem solving.
  • Ability to work independently, exercising good judgment, and initiative.
  • Ability to project and recognize potential problems and implement corrective action.
  • Provides the highest customer service excellence.
  • Must have valid driver’s license and be approved by insurer to operate personal or company vehicle.
  • Must be free to travel as needed to carry out organizational goals.
  • Flexible schedule to meet the needs of organization and group travel planners.
  • Must be able to lift up to 25 lbs. and transport equipment and materials for use in work task.
  • Education and experience may be evaluated to meet minimum requirements.

Hours: 8 AM-5 PM, Monday-Friday.  Weekends and evenings as needed to meet the needs of clients.  Occasional travel for training, tradeshows, and marketplaces.
